R.E.D. User Group Meeting Review

Due to the large numbers attending the User Group Meetings, we decided to hold the meeting in our local leisure centre this year. It was nice to have lots of extra space and an overhead projector, but poor Jules and JB took it in turns to carry in all the computers!


This years' Welcome Pack included; a sheet on time management courtesy of Lloyds TSB, an AFD Postcode demo CD, Walksort information, the new R.E.D. Price List, 'Maximising Readership Surveys' by Clear Impressions, JB's Tips on Using Windows Explorer, and 4 General Advice Sheets produced by R.E.D.


The agenda for the User Group Meeting was slightly different this time, in that the overall theme was using Internet and E-mail. Instead of having users talking we had an external speaker and three of R.E.D.'s support team.
Russell Vowles from Clear Impressions gave a very interesting talk on 'Maximising the Value of Readership Surveys' via the use of the Internet and E-mail. Russell provided some pretty impressive statistics on the results of a survey done by e-mail/internet and paper, with the Internet/e-mail providing much higher results. If you would like more information about the services Clear Impressions provide we would be happy to give you a contact number.
Next up was Helen with a talk entitled 'Exploiting E-mail'. The content included reasons for utilising e-mail more for activities such as renewals, announcements and updates, and ways in which to make the activity more successful by use of colour and personalization. Louise then gave a talk on the new Walksort module in R.E.D. and explained the benefits that can be gained from this service. Jules finished up the talk section of the meeting by explaining the new single record import routine and how this can be adapted to automatically update your R.E.D. database from subscriptions ordered on the web.


Finally the everyone was invited to view the Windows software, see a working demo of the AFD Postcode program and have a demo by JB of his Handy Tips! The next user group meeting will be in 12 months time. Information from the meeting can be found on the R.E.D. web-site.

New Option Controls: Subscription Entry Demographics


As you enter a new subscription you are prompted to fill in selected Address demographic values. You can now add Extended demographics and Subscription demographics to the demographic questions defined for each publication, for fast, flexible processing.

New Demographic Entry: Renewing Subscribers


This is particularly nice for those who are re-registering subscribers but not using the Fast Entry Screen. By using a new switch you can tell the program to prompt for specific demographics. This is available for ACTION > RENEW, ACTION > FREE, and ACTION > BPA-REGISTER.

New: Extended Address Importing


Direct importing into address fields has been added to the software, and now you can import into any address field you choose, rather than the pre-defined fields available at present.

R.E.D. Web-site Update


All you Users will have received an e-mail pointing to a web questionnaire regarding the possible future content of our web-site. This allows you to contribute your own ideas. A big thank you to those who responded, we had some very good ideas come back and for those who responded we will probably be added all your Frequently Asked Questions (FAQ) to our web-site. At the same time we are doing a major overhaul on all our documentation and we will keep you posted via the web-site on things that have been updated.

Subscriptions/Database Development Manager

This new position, based in Worthing involves leading our small subscription team, developing and improving systems, marketing, direct debits, renewal letters etc, using our PC based RED subscription package for paid and controlled circulations. A working knowledge of Excel and good communication skills will be needed too.

Subscriptions Supervisor

Landor Publishing is a rapidly expanding specialist business to business publishing house producing magazines, books and conferences all within the transport, travel and urban regeneration sectors.

A Supervisory position is currently available within the database / subscriptions department for Kennington Publishing Services. KPS provide the support services to the Landor Publishing group.

We are looking for a graduate who is bright, outgoing, enthusiastic and methodical, with attention to detail. Knowledge and interest in IT would be advantageous, as the role will incorporate training and in-house trouble shooting. Computer literacy and good communication skills are essential. Experience of a customer service / office environment is required.

This is a varied and interesting role encompassing all aspects of the day to day subscriptions work, marketing and circulation development, database development, customer service, accounting and management reporting. To work alongside and assist the manager of the department, and to be responsible for a team of 2-3 staff. Full training will be provided on the in-house R.E.D. database system.

The salary for this position will be negotiable depending on experience etc.

Kennington Publishing Services is based in Vauxhall with tube and train lines connecting. The offices are situated behind the BP Petrol station on Kennington Lane, which is a five-minute walk from the train station.

JB's Tips


  1. Network Users: We recommend (if you haven't already done so) to arrange for your File Server(s) to receive mains electricity through an Un-interruptible Power Supply, (UPS). If a File Server loses power while files are open and programs are running, corruption can occur. In some cases, critical Operating System configuration files can be damaged and when the File Server is re-booted on restoration of power the it no longer functions as before, causing even more lost time. A UPS can give you time to 'down' your server and close all files in an orderly way.

  2. Netware Users: If you are upgrading your File Server from Netware 3.2 or 4.11 to Netware 5.1, you may need to buy a copy of Pervasive.SQL 2000 to install on your File Server and on every workstation that runs R.E.D. software. Netware 5.1 does not come with a BTRIEVE database engine licenced for the same number of users as the Netware licence. Instead it comes with a 2-user version of Pervasive.SQL 2000. Note that configuration and monitoring of the 'new' database engine must be done from a workstation upon which the client part of Pervasive package has been installed.

  3. Adding a new workstation: or rebuilding an existing one, on a network that is happily running R.E.D. databases on other workstations. If a database Error 20 is generated the moment you attempt to launch an R.E.D. program, check that the folder, (directory), storing BREQUEST.EXE or BREQNT.EXE is on the MS-DOS Search Path for this new computer. Use the PATH command to find out (compare with an original workstation).

Good News


Sam's sister has had a baby girl called Aruni and Peter from IRS has had a baby boy.- Congratulations!

R.E.D. recently had a night out - to the local pub and then for a Pizza - it was good to meet up with Emma and Nik again and catch up on their news.

Jules has returned from his holiday in Barbados with a tan!

JB returned from his holiday in Wales without one!

The latest Small Publishers Advisory Council Lunch was attended by Nicola at the PPA offices on the 9th March. As it was a networking lunch it gave smaller publishers a chance to mingle with other publishers and PPA representatives and make useful contacts.

Charities and Associations Exhibition CHASE 2001

We sent Jules along to Chase 2001 where he attended a couple of free seminars. Here is a summary of the CRM talk. If you would like a full copy of Jules' notes just give us a call.

Customer Relationship Management (CRM/e-CRM) - An Introduction

The seminar was given by Phil Johnson, M.D. of Anglo-Europe, and looked at how organizations can build a centralized database to support the implementation of an e-CRM strategy.

It has reached the stage now where most companies will have their own web site, although most are little more than hi-tech catalogues or company brochures. Today's technology has created a far higher customer expectation in terms of competitive products and services that are offered.

As goods and services become more easily available and accessible, it is the quality of customer relationships that will differentiate one company from its' competitors. One way to encourage customers to choose your company is by building a relationship with that customer that is better than that of your competitor.

A method of achieving this is CRM. CRM is not a product but a corporate-wide strategy that views the customer as the centre of all its operations. A vital tool in creating CRM within the company is the use of an integrated sales, marketing and customer service database that will provide end-users with a single view of the customer (sound familiar?). For CRM to be effective within an organisation it needs Executive/Management support to ensure that everyone is focused in a common direction.

When the Customer Service Vision is in place, the next stage is to identify the specific gaps between the current situation and the customer management goals of the company. The next step is to assess the areas where change is most needed and sets out a framework to build upon the current situation. This may include, for example improving the quality of your customer database by regularly cleaning data, and ensuring all database users understand that inaccuracies must be corrected as soon as they come to light. The aim is that Customer Loyalty is increased and customers remain rather than leaving to your Competitors.

Nicola's 'Good-bye' Message

Thank you for all your support and patience over the last two and a half years, and believe it or not you will all be greatly missed! (Those early morning printer queries or the late night complicated report requests will stay with me for a long time!).

On to pastures new - I'm relocating to the northern home counties and taking up a position at a management college designing training courses. I will still be doing a little help-desk work but it will be students this time (oh dear)! My last day at R.E.D. will be Friday 4th May, so if I do not speak with you before then I wish you all the best for the future.
